9369-0964 Québec inc., operating under the numerik.tv brand (“numerik.tv,” “we,” “our,” or “us”), recognizes the importance of respecting privacy and protecting the personal information entrusted to it.
This privacy policy (the “Policy”) explains how we collect, use, disclose, retain, and protect personal information in connection with our activities, in particular when you use:
- the numerik.tv website and its subdomains
- the numerik.tv digital signage platform in SaaS mode
- the client portals, applications, distribution tools, and related interfaces
- our contact, demo request, free trial, or document download forms
- our sales, deployment, training, billing, technical support, and integration services
We process personal information in accordance with applicable laws, including Quebec’s Act respecting the protection of personal information in the private sector and, where applicable, Canada’s Personal Information Protection and Electronic Documents Act.
Where required by law, we obtain clear, free, and informed consent before collecting, using, or disclosing personal information. Some information may be necessary to enter into or perform a contract, and if you decline to provide it, we may be unable to offer the requested service. We process information without consent only where the law permits or requires it.
1. What is the scope of this Policy?
This Policy applies to personal information that numerik.tv collects or processes about, among others:
- visitors to its website
- prospects and individuals requesting information, a demonstration, a trial, or a brochure
- representatives, administrators, and users of its clients
- suppliers, partners, and other individuals with whom numerik.tv does business
- individuals who contact our support team or take part in training
Information processed on behalf of our clients
In many situations, numerik.tv acts as a technology service provider for a client organization. That organization may use the platform to upload, transmit, manage, schedule, or distribute content and data. Where a client determines the purposes and means of this processing, it generally remains responsible for the personal information involved, while numerik.tv processes it on the client’s behalf, in accordance with the service agreement and the client’s documented instructions.
In this context:
- the client must ensure it is authorized to collect and transmit information to numerik.tv
- the client must inform the individuals concerned and obtain any required consents
- numerik.tv does not use client content for advertising or other purposes unrelated to providing its services
- requests relating to information controlled by a client should normally be directed to that client first — numerik.tv will cooperate with the client whenever its assistance is required
If a provision of a contract entered into with a client sets out more specific commitments regarding information processed on its behalf, that contractual provision prevails to the extent applicable.
Links and third-party services
Our sites, applications, or platforms may contain links to sites, content, applications, or services operated by third parties. The practices of these third parties are governed by their own privacy policies. numerik.tv is not responsible for their practices, except to the extent provided by law or an applicable agreement.
2. What is meant by “personal information”?
“Personal information” means information that relates to an identifiable individual, directly or indirectly. It may include, among other things, a name, an email address, a phone number, an account identifier, an IP address, a login history, or any other information that can be associated with an identifiable individual.
Information that has been aggregated or irreversibly anonymized in accordance with legal requirements is no longer considered personal information. De-identified information that could still allow an individual to be re-identified remains protected as personal information.
3. How do we collect your personal information?
We may collect personal information in various ways.
Directly from you
We collect it in particular when you:
- fill out a form on our website
- request a demonstration, a free trial, a quote, or a brochure
- create or use a numerik.tv account
- purchase a licence, product, or service
- make or authorize a payment
- contact us by email, phone, video call, messaging, social media, or in person
- request support, submit an attachment, or take part in a troubleshooting session
- take part in training, a webinar, a survey, a promotional activity, or an event
From your organization
If you use numerik.tv as part of your job or duties, your organization may provide us with your professional contact details, your role, your access rights, and other information necessary to create and administer your account.
Through automated means
When you use our sites, applications, or platforms, certain information may be collected automatically through cookies, server logs, pixels, tags, analytics tools, or similar technologies.
From third parties or integrations
We may receive information from payment providers, technology partners, authentication services, analytics tools, or integrations enabled by a client. We only collect the information reasonably necessary for the purposes determined before collection.
4. What personal information do we collect and why?
The categories below describe the main information we may collect. The information actually collected varies depending on your relationship with numerik.tv, the features used, and your organization’s choices.

Content that may include sensitive information
numerik.tv does not seek to collect sensitive personal information through its public forms. Depending on the modules or integrations chosen by a client, certain operational, municipal, public safety, or emergency content may nonetheless include personal information. This information should only be transmitted when necessary, authorized, and protected by appropriate access controls.
Users should not display personal information on publicly accessible screens unless such display is authorized by law and consistent with their organization’s policies.
5. How do cookies and other similar technologies work?
Our sites and platforms may use cookies, pixels, tags, and similar technologies. A cookie is a small file stored on your device or associated with your browser. It can be used to recognize a session, remember a preference, secure an account, or measure the use of a service.
We may use the following categories:

6. Who do we disclose your personal information to?
numerik.tv does not sell or rent personal information.
We may disclose personal information only when necessary for the purposes described in this Policy, with your consent where required, or where the law permits or requires it.
Within your organization
Authorized administrators of your organization may have access to information associated with your account, your role, your activities, or the content you manage, according to the permissions configured by that organization.
Service providers
We may engage service providers who act on our behalf, in particular for:
- hosting, cloud infrastructure, backup, and service continuity
- IT security, monitoring, incident prevention, and maintenance
- development, testing, and technical support
- electronic communications, request management, and remote assistance
- traffic analytics and, with the required consent, digital advertising
- billing, accounting, payment processing, and fraud prevention
- delivery of hardware, training, or solution deployment
- integrations, data feeds, or external services chosen by a client
These providers may only use the information to perform the services entrusted to them. Where required, numerik.tv governs their access through written contracts that include obligations of confidentiality, security, use limitation, incident reporting, and destruction or return of information.
Advisors, authorities, and business transactions
We may also disclose information:
- to our legal, accounting, tax, insurance, audit, or other professional advisors
- to a public body, a court, an investigative service, or a law enforcement authority where the disclosure is authorized or required
- to a party involved in a reorganization, financing, merger, asset sale, or other business transaction, subject to appropriate safeguards
7. How long do we retain your personal information?
We retain personal information only for as long as necessary to fulfill the purposes for which it was collected, to comply with our contractual, legal, tax, accounting, or regulatory obligations, to prevent incidents, and to resolve disputes.
The retention period varies in particular based on:
- the nature and sensitivity of the information
- the length of the relationship with the client or user
- the features used
- the timeframes set out in contracts
- applicable legal obligations
- reasonable backup and disaster recovery cycles
Content and information processed on behalf of a client is retained, returned, exported, anonymized, or destroyed in accordance with the applicable contract and our technical procedures. Deleting backup copies may require an additional delay corresponding to the normal backup replacement cycle.
When information is no longer needed, we securely destroy it or anonymize it in accordance with legal requirements and our retention policies.
8. Where is your personal information stored?
numerik.tv and its providers may retain or process information in Quebec, elsewhere in Canada, or in other countries, depending on the infrastructure, service, or integration used.
When personal information must be disclosed or entrusted to a provider located outside Quebec, it may be subject to the laws of the jurisdiction where it is processed. Governments, courts, or law enforcement bodies of that jurisdiction could have access to it in accordance with local laws.
Before a disclosure outside Quebec, numerik.tv undertakes to carry out the required privacy factor assessment and to put in place appropriate contractual, organizational, and technical measures to ensure adequate protection of the information.
9. How do we protect your personal information?
numerik.tv applies security measures that are reasonable and proportionate to the sensitivity, quantity, purpose, format, and context of the personal information involved.
Depending on the nature of the service, these measures may include:
- access controls based on roles and the principle of least privilege
- authentication mechanisms and secure session management
- encryption of communications where appropriate
- activity logging and system monitoring
- backups, redundancy mechanisms, and recovery plans
- system updates, maintenance, and patching
- confidentiality commitments and awareness training for authorized personnel
- procedures for access management, retention, destruction, and complaint handling
- a privacy incident response plan
Access to personal information is limited to individuals who reasonably need it to perform their duties.
Privacy incidents
In the event of a privacy incident, numerik.tv takes reasonable measures to reduce the risk of harm, prevent a similar incident from recurring, document the event, and meet its notification obligations. Where an incident presents a risk of serious harm, we notify the individuals concerned and Quebec’s Commission d’accès à l’information in accordance with the law.
User responsibility
Users must protect their credentials, use strong passwords, comply with the access controls established by their organization, and promptly report any unauthorized use or suspicious situation to us.
No method of electronic transmission or storage offers an absolute guarantee of security. If you have reason to believe your information or account has been compromised, please contact us without delay.
10. What are your rights regarding your personal information?
Subject to the conditions and exceptions provided by law, you may in particular:
- ask whether we hold personal information about you
- request access to that information and obtain a copy of it
- request the correction of information that is inaccurate, incomplete, or ambiguous
- withdraw your consent to future use or disclosure where the processing is based on that consent
- request the destruction or deletion of information where its collection, use, disclosure, or retention is not authorized, or where the law provides for it
- request that certain computerized personal information be provided in a structured, commonly used technological format, or transmitted to an authorized individual or organization, where the right to portability applies
- request, in the circumstances provided by law, that the disclosure of personal information be discontinued or that a hyperlink be de-indexed or re-indexed
- file a complaint about our personal information protection practices
Withdrawing consent or deleting certain information may limit our ability to provide a service, maintain an account, or respond to a request. We will inform you of the reasonably foreseeable consequences before acting on your request, where relevant.
To protect confidentiality, we may ask for proof of identity or verify your authority before responding to a request. We respond to written requests within the timeframes provided by law, generally within 30 days of receipt.
If the information is controlled by a client organization, we may direct you to that organization and provide it with reasonably necessary assistance to process your request.
A person who is not satisfied with our response may contact Quebec’s Commission d’accès à l’information or exercise any other remedy provided by law.
11. How to reach us or file a complaint
Any question, access or correction request, request relating to your rights, complaint, or comment concerning this Policy or our practices may be addressed in writing to our person in charge of the protection of personal information.

Complaints are handled confidentially. The person in charge reviews the request, may contact the individual concerned for clarification, and provides a reasoned response within the applicable timeframes.
12. Will we update this Policy?
This Policy takes effect as of the date indicated at the beginning of the document. We may amend it to reflect changes in our practices, services, providers, or legal requirements.
The current version is published on our website. Where changes are significant, we take reasonable steps to bring them to your attention, for example through a notice on the site, within the platform, or by email. Where required by law, we will seek new consent before using personal information for a new purpose.
